Privacy policy.

This Privacy Policy explains how Ethereum Institutional collects and uses personal data when individuals visit ethereuminstitutional.org or forum.ethereuminstitutional.org, apply for a seat at an Ethereum Institutional Forum event, apply for a role at Ethereum Institutional, write to the team through a form on the site, or subscribe to its email newsletter.

The policy in full.

  • Data controller and contact

The data controller is Ethereum Institutional, Gartenstrasse 6, Zug, Switzerland, at ethereuminstitutional.org.

Questions about this policy, or about the data held about you, go to privacy@ethereuminstitutional.org.

  • Personal data collected

When you subscribe to the newsletter, Ethereum Institutional collects your email address so it can send you updates about Ethereum Institutional and the institutional Ethereum ecosystem.

When you apply for a seat at an Ethereum Institutional Forum event, Ethereum Institutional collects the name, email address and institution you give on the form, together with anything else you choose to write in it, so that the application can be considered and answered.

When you apply for a role on the site, Ethereum Institutional collects the name, email address and location you give, your LinkedIn profile and, if you give one, your X profile, your CV, what you write about your interest and experience, the salary you expect and anything you add about pay or terms, and how you learned of the role, so that the application can be assessed and answered.

To help us read applications, your CV and what you write on the form may be set against the role’s requirements by AI models, through providers that keep none of it. People make every decision about an application.

When you write to Ethereum Institutional through the contact form or the ecosystem supporters’ form, it collects the name, email address, institution and role you give, together with your message, so that a member of the team can answer you.

When you are invited to an Ethereum Institutional Forum event, the page your invitation links to notes when you open it, so that the person who invited you knows the invitation reached you. Only the time is kept: nothing about your device, your IP address or where you are.

When Ethereum Institutional sends you its newsletter, it notes what happens to that email: whether it was delivered, delayed or returned, or marked as spam, as its email delivery provider reports it; when it is opened, by a tracking pixel, a tiny image in the email; and which of its links you click, since each link passes through Ethereum Institutional’s own address on its way to the page. What is noted is kept with your subscription, as the time and the kind of event. Nothing about your device, your IP address or where you are is kept: the name your mail app gives is read only at that moment, to tell an opening by a mail service, or a click by a link checker, from your own.

Links in the newsletter to Ethereum Institutional’s own pages say that the visit came from the newsletter, so the site’s visit counts can show how many readers it brought.

The website may also collect basic technical information, such as IP address and browser type, through standard server logs to ensure the site is delivered securely and reliably.

  • How and why your data is used

Ethereum Institutional uses your email address to send newsletters and informational updates you have requested. The legal basis for this processing is your consent, which you give when you subscribe.

What is noted about each newsletter email is used to see how each issue was read, to improve what is sent, and to stop sending to an address that no longer receives it. The legal basis for noting openings and clicks is your consent, which you give when you subscribe and can withdraw at any time without unsubscribing, with the link at the foot of any newsletter or by writing to privacy@ethereuminstitutional.org; the legal basis for delivery reports is legitimate interests in operating the newsletter.

A seat application is used to consider and answer it, to arrange the event, and to keep a record of who was invited and who attended. The legal basis for this processing is legitimate interests in convening these events, and, where a seat is offered and accepted, the arrangement made with you.

Ethereum Institutional does not publish the names of the guests who attend its events; speakers are named with their agreement. It may name, or show the logos of, the institutions whose people attend.

An application for a role is used to assess it and to answer it. The legal basis for this processing is legitimate interests in recruiting for Ethereum Institutional, and the steps you ask us to take before any contract with you.

A message sent through a form on the site is used to answer it and to keep a record of the conversation that follows. The legal basis for this processing is legitimate interests in answering the people who write to us.

Server log data is used to operate, secure, and maintain the website and is processed on the basis of legitimate interests in ensuring a secure and functional service.

  • Who else handles your data

Ethereum Institutional keeps its newsletter list, and what is noted about each email, in its own system, on a server hosted by Hetzner in Germany, and sends the newsletter from it. The newsletter, the emails Ethereum Institutional sends about its events, and the messages sent through the site’s forms are delivered through Resend, an email delivery provider, which processes the message and the addresses on it only to deliver them, as a data processor under appropriate data protection terms.

The details you give when you apply for a seat at an Ethereum Institutional Forum event may be shared with the event’s sponsors and co-hosts, as the application form says, subject to applicable data protection and privacy requirements.

A CV sent with an application is kept on Ethereum Institutional’s own server and opened only by its team. It is never sent on by email.

Each newsletter lets you unsubscribe in one click, from the link at its foot or the unsubscribe button your email app shows.

In addition, standard website hosting and security providers may process technical data to keep the website available and secure. Personal data is not sold and is only shared where necessary to provide the services described above or to comply with legal obligations.

  • Retention

Email addresses are retained while you remain subscribed to the newsletter. If you unsubscribe, your email address will be removed from active mailing lists and may be kept in a suppression list only to ensure that you do not receive further emails.

What is noted about a newsletter email is kept with the record of that email, and used only for the figures of the issues you received. Once you unsubscribe, or withdraw your consent to it, nothing more is noted.

An application for a role, with its CV, is kept for 12 months from the decision on it, or from when it was sent where there is none yet. After that it is hidden from the team and no longer used. If you would like it withdrawn sooner, write to privacy@ethereuminstitutional.org.

A message sent through a form on the site is kept for as long as it takes to answer it, and as part of the record of any relationship that follows.

Server log data, including the requests the site’s measuring script sends, is kept for 14 days, for security, diagnostics and counting visits, and then deleted. The daily totals counted from it identify no one and are kept longer.

  • Your rights

Subject to applicable law, you have the right to:

    • Access the personal data Ethereum Institutional holds about you.
    • Request correction of inaccurate data.
    • Request deletion of your personal data in certain circumstances.
    • Object to or restrict certain types of processing.
    • Withdraw your consent to newsletter emails at any time by using the unsubscribe link in emails or by contacting Ethereum Institutional.
    • Withdraw your consent to the noting of your newsletter openings and clicks at any time, without unsubscribing, with the link at the foot of any newsletter or by contacting Ethereum Institutional.

You also have the right to lodge a complaint with your local data protection authority if you are concerned about how your data is handled.

  • How the site measures its pages

The pages of ethereuminstitutional.org and the sites under its name, the forum among them, carry a small script of its own, written by Ethereum Institutional, which measures how the page performed and how it was read. When you leave a page it sends one request to the site’s own server: the page’s address, how many seconds it was open and in view (up to thirty minutes), whether you arrived from another page of the site and whether you went on to one, and five timings of how quickly the page loaded and responded.

The script sets no cookie, stores nothing in your browser, gives you no identifier and sends nothing to anyone else. It does not run when your browser sends Global Privacy Control or Do Not Track, nor on a preview or an address that carries a personal key.

Its request is written to the site’s server log like any other, with the IP address and browser type every request carries, and is kept for 14 days with the rest of that log. From it the site keeps daily totals only, such as how many pages were read and how long they stayed open, which identify no one. This is done on the basis of legitimate interests in knowing which pages are read and keeping the site fast.

  • Cookies and analytics

Neither ethereuminstitutional.org nor forum.ethereuminstitutional.org sets cookies, and neither uses analytics tools from anyone else. Visits are counted from the site’s own server logs, and from the small script of its own described under How the site measures its pages.

The newsletter carries the tracking pixel and the links described above. Turning off images in your mail app stops openings being noted; a click on a link is still noted, until you turn the noting off with the link at the foot of any newsletter. If cookies or analytics tools from anyone else are added in future, this policy will say so first, and consent will be obtained where required by law.

Presentations Ethereum Institutional shares with you by a personal link are read at slides.ethereuminstitutional.org, which has its own privacy notice at slides.ethereuminstitutional.org/privacy.

  • Changes to this policy

This Privacy Policy may be updated from time to time to reflect changes in legal requirements, website features, or data processing activities. The latest version will always be available on this page.
